Map the process before the trigger

Follow one item from arrival to completion. Identify repeated decisions, missing information and handovers. A process map often reveals a simpler improvement before any new software is needed.

Put boundaries around the rules

Automate steps that have explicit inputs and predictable outcomes. Route incomplete or ambiguous items to a person. Document the limits, particularly where a decision affects money, customer access or sensitive records.

Design a recovery path

An operator should be able to understand why an item stopped and what can safely happen next. Record checkpoints and avoid treating every rerun as a new transaction. Test recovery as part of the workflow.
